The following Terms and Conditions outline the agreement between you, our valued clients, and us, Mega Tour (Mongolia).
By booking or engaging in any tours, products, or services Mega Tour (Mongolia) offers, you are indicating your acceptance of these Terms.
Please thoroughly review and comprehend these conditions before proceeding with any bookings or participation.
Booking and Reservation Policies:
You must carefully review the itinerary and conditions of your tour. To secure your reservation, a deposit of $200 per person is required at the time of booking. Upon receipt of your deposit, we will confirm your booking and provide details regarding the remaining balance of payment. (Please note that the booking will not be confirmed until the deposit is received).
The remaining balance is due at least 21 days before the tour begins. If the balance is not paid by the due date, Mega Tour (Mongolia) will consider the booking as canceled and apply the cancellation charges as outlined below.
The total payment is required at the time of booking in the following cases:
- If you are booking within 21 days of the tour start date
- If you are booking tours lasting less than 3 days
Please note that reservations are subject to availability, and we recommend booking well in advance to secure your preferred dates.
Payment methods:
Bank transfer, international money transfer services, Visa & Master card.
Changes:
Changes to bookings can be made based on availability and are subject to our discretion. We will assess availability and discuss options with you that may involve additional costs beyond the original plan.
Cancellations:
Please inform us as soon as possible if you need to cancel. Refunds are provided according to our cancellation policy, which may vary depending on the tour package and the timing of the cancellation.
There will be a service charge of US$100 per person on cancellations received at least 25 days before the booked tour departure. Otherwise, the deposit is non-refundable unless it is applied to another trip departing within one to two years.
If you cancel your booking after you have paid in full, the following cancellation charges will be made:
- between 21 and 29 days before departure: 30% of the tour cost after deducting all transaction fees
- between 15 and 20 days before departure: 40% of the tour cost after deducting all transaction fees
- between 8 and 14 days before departure): 50% of the tour cost after deducting all transaction fees
- 7 days or less before departure (or fail to join the tour): 100% of the tour cost
Travel Insurance:
We believe in providing a seamless and enjoyable travel experience for our clients. However, we also recognize the importance of being prepared for the unexpected. That's why we highly recommend that all travelers obtain comprehensive traveler's insurance.
Traveler's insurance offers invaluable protection against unforeseen events such as trip cancellations, medical emergencies, baggage loss, and other travel-related mishaps. While we strive to ensure your safety and comfort throughout your journey, having adequate insurance coverage provides an additional layer of security and peace of mind.
Please note that while insurance coverage will be provided for our customers, it is essential for travelers to assess their individual needs and consider obtaining their own insurance for added safety and coverage. The responsibility for securing adequate insurance lies with the traveler, and Mega Tour shall not be liable for any losses or expenses incurred due to inadequate coverage.
By obtaining adequate travel insurance, you can rest assured that you are prepared for any unexpected circumstances that may arise during your travels. This will allow you to fully enjoy your experience with confidence and peace of mind.
Travel Documents:
You must ensure your visa and passport are valid and suitable for the duration of your tour. Mega Tour (Mongolia) does not accept responsibility for any issues or disruptions arising from visa or passport problems. Therefore, you are responsible for obtaining the necessary travel documentation and promptly addressing any issues.
Please ensure that you have acquired the appropriate visa for your destination and that your passport remains valid for at least six months beyond your intended return date. Please refer to our travel guide page for details on visa requirements and visa-free entry options. Verifying these details before your journey is crucial to avoid any travel disruptions.
We strongly advise you to thoroughly review our documents, including your name, arrival date, and payment information. If you identify any inaccuracies, please contact us immediately to rectify the documents. Your attention to these details will help ensure a smooth and hassle-free travel experience.
Special requests & Health issues:
At Mega Tour (Mongolia), we understand that every traveler is unique and strive to accommodate special requests to the best of our ability. If you have any specific requirements or preferences, please let us know before booking and placing a deposit. We will try to adapt to your request; however, we cannot guarantee it. If it proves impossible, we will communicate this to you before confirmation and consult with you to find alternative solutions. Please note that Mega Tour (Mongolia) reserves the right to decline any request before confirmation without providing a reason.
In addition, you must disclose any health issues, disabilities, allergies, or severe medical conditions to us before booking. We reserve the right to decline your booking if we assess that participating in our programs may pose significant challenges or risks to your health or safety. Please provide us with any relevant health information before the tour to ensure we can provide appropriate accommodations or assistance during the trip. Moreover, if undisclosed health issues damage you or other travelers, Mega Tour (Mongolia) will not assume any responsibility for such losses or damages.
It is your responsibility to ensure that you have an adequate supply of any necessary medications for the duration of the tour. Mega Tour does not provide drugs or medical services, and therefore, you must bring your medications and any medical supplies you may require.
We prioritize the safety and well-being of all our participants, and your cooperation in providing accurate health information is crucial to ensuring a smooth and enjoyable travel experience for everyone. If you have any concerns or questions regarding special requests or health-related matters, please do not hesitate to contact us for further assistance.
Collection and Use of Personal Data:
At Mega Tour, we collect personal data from our customers to confirm tour bookings and for marketing purposes only. We assure you that we do not sell or provide your personal information to any third parties. Your privacy and data security are of utmost importance to us.
However, we may occasionally send marketing emails to our customers to provide information about upcoming tours, special offers, and other relevant updates. If you prefer to avoid receiving marketing emails from us, please inform us via email, and we will promptly remove you from our mailing list.
Photography and Videography:
During our tours, we may take photographs and videos of our customers participating in various activities and experiences. These images and videos may be used for marketing purposes, including but not limited to our website, social media channels, promotional materials, and advertising campaigns.
If you do not wish for your photos or videos to be used for marketing purposes, please notify us in advance. We respect your preferences regarding using your likeness and will ensure that your images are not included in our marketing materials. Your privacy and choices regarding the use of your data are essential to us.
Itinerary:
We will provide you with an itinerary and consult with you to tailor it to your preferences and interests for an enjoyable experience. It is essential to review the itinerary and confirm it with us carefully. Please let us know before booking if you wish to make any changes.
Please note that the itineraries serve as a guideline for each group and are not contractual obligations. The nature of our tours requires flexibility, and participants should acknowledge that delays and alterations may occur. Therefore, no refunds or compensation will be provided for any unused transport, accommodation, services, or features of the tour.

During the tour, you must listen to and follow the instructions provided by your tour guide. Your compliance is essential for your safety and the safety and enjoyment of other participants. Any actions that jeopardize the safety or enjoyment of others may result in your removal from the tour or activities without refund or compensation.
Special Requests and Health Information:
Any special requests or health issues must be communicated and confirmed before booking confirmation. Mega Tour cannot be held liable for accidents or incidents resulting from inadequate disclosure of information. It is your responsibility to provide accurate and complete information regarding any special requirements or health concerns.
Personal Belongings:
You are responsible for the safety and security of your personal belongings at all times during the tour. Mega Tour does not accept liability for lost or forgotten items. Please ensure that you keep track of your belongings and take necessary precautions to safeguard them throughout the tour.
Booking representative: When booking on behalf of a group with Mega Tour, it is your responsibility to ensure that all members of your group are fully informed about and understand our terms and conditions. As the primary contact and signer of the contract, you are acknowledging that all group members agree to abide by these terms and conditions.
Therefore, you must communicate and explain our terms and conditions to all group members before signing the contract. By signing on behalf of your group, you are confirming that each member has been made aware of these terms and agrees to comply with them throughout the tour.
Should any disputes or issues arise during the tour, it will be understood that all group members are bound by the terms outlined in the contract, as agreed upon at the time of booking. Mega Tour will consider the contract binding and applicable to all group members based on the signature of the booking representative.
By booking a tour with Mega Tour, you acknowledge and accept that travel inherently involves certain risks and hazards. You agree to assume full responsibility and liability for your actions and their consequences throughout the tour.
Our responsibility begins upon meeting the tour guide in Ulaanbaatar city. We are not liable for any incidents or issues before this meeting, including accidents, injuries, flight delays, or discomfort.
Mega Tour emphasizes that while we prioritize safety and take all reasonable precautions, we cannot guarantee absolute protection against unforeseen events or circumstances beyond our control. Therefore, Mega Tour hereby expressly disclaims any responsibility and liability for injuries, damages, or losses incurred as a result of the following:
Unpredictable Natural Disasters: Mega Tour shall not be held liable for any injury, damage, or inconvenience caused by natural disasters such as storms, earthquakes, floods, or volcanic eruptions, which are beyond human control and cannot be reasonably anticipated.
Governmental Policies: Mega Tour is not responsible for any disruptions or changes to the tour itinerary resulting from governmental policies, regulations, or restrictions, including travel advisories, visa denials, or border closures.
Civil Unrest and Conflicts: In the event of riots, strikes, civil unrest, or other conflicts, Mega Tour shall not be liable for any injury, loss, or damage suffered by participants as a result of such incidents.
Acts of Terrorism: Mega Tour disclaims any liability for injuries, damages, or losses arising from acts of terrorism, including hostage situations or other violent acts, whether perpetrated by individuals or organizations.
Epidemics and Health Emergencies: Mega Tour shall not be held responsible for any illness, injury, or inconvenience caused by epidemics, pandemics, or other health emergencies, including but not limited to outbreaks of infectious diseases such as COVID-19.
To mitigate potential risks, participants are strongly advised to obtain comprehensive travel insurance that covers medical expenses, trip cancellation, and emergency evacuation. Additionally, participants are expected to adhere to all safety guidelines, instructions, and recommendations provided by Mega Tour staff during the tour.
Please note that the disclaimer mentioned above of liability extends to both personal injury and damage to property. By booking a tour with Mega Tour, you acknowledge that you have read, understood, and accepted these terms regarding liability and responsibility.

Legal terms:
All terms and conditions are governed by Mongolian law and must be interpreted and enforced by Mongolian jurisdiction. Any disputes arising from these terms and conditions shall be resolved exclusively in Mongolian courts.
If you seek further action after the tour is completed, we will endeavor to reach a mutually agreed-upon settlement. However, to initiate this process, you must notify us in writing within 14 days of the tour's completion date.
